Conference Attendee Terms & Conditions

These are the Terms & Conditions that apply to THE HUGE CONVENTION (the “producer”) clients hereafter “attendee” that attend events produced and presented by The Huge Convention. 

Payments: All bookings made prior to the conference must be paid in full to guarantee registration. Once payment has been received, an email confirmation and a receipt will be sent. 

Cancellation Policy: Our cancellation policy allows for a refund, less a 30% administrative charge, for cancellations received in writing via email at least thirty (30) days prior to the first event date. No refunds will be made after this date. EarlyBird tickets (purchased before August 26, 2023) are NON-REFUNDABLE and NON-TRANSFERABLE. If a registered attendee does not cancel and fails to attend the conference, this will be treated as a cancellation and no refund or credit will be issued. If an event is canceled, a credit will be issued after the notification of event cancellation, to attend another THE HUGE CONVENTION program of the registrant’s choice. Cancellation requests must be emailed to info@thehugeconvention.com.

Adjustment of Registration Fees: After a delegate’s registration is completed, THE HUGE CONVENTION reserves the right to review the information provided by the delegate and adjust the registration ticket type and fee if it is found that the information provided by the attendee has been misrepresented, false or incorrect. Any adjustment to fees will be charged directly to the payment method on file. 

SMS Messages: 

By providing us your telephone number or otherwise agreeing to receive text messages from or on behalf of the Company, you expressly consent to receive marketing and/or non-marketing text messages from Company and any and all others texting on Company’s behalf, including, but not limited to, its service partners, including text messages which may utilize or be sent using an automated system, an autodialer, an automated system for the selection and/or dialing of telephone numbers, an automatic telephone dialing system (“ATDS”), and/or any other type of systems, softwares, hardwares, or machines (no matter how they may be named or classified, and whether used alone or in conjunction with one another) that may use an automated procedure or process for sending messages, at the mobile telephone number associated with your opt-in. You may opt out of these communications at any time, and your consent to receive marketing text messages is not required and is not a condition to purchase any goods or services.

  • Program Descriptions

As set forth above, Company and/or its service providers and others may use an autodialer and/or related systems to deliver text messages (including, but not limited to, SMS and MMS) to the phone number(s) that you provide. Text messaging may include one-time or recurring texts related to, but not limited to, the following programs:

  • Marketing and Promotional Programs: By opting into a Company marketing Program, you can expect to receive recurring marketing, promotional, advertising, informational and other similar messages regarding sales, discounts, loyalty programs, reward certificates, abandoned cart reminders, and other offers, in varying frequencies at the mobile telephone number provided when opting in. Service Appointments: You may provide your mobile telephone number to opt in to receive text messages about appointments, services, and/or reminders and updates related to same.
  • On-Demand Text Message Reply Services: You may send a text requesting certain types of on-demand text message reply services from Company, including but not limited to the following: text to receive a link to sign-up for loyalty programs, text to sign-up for email marketing programs, text to receive a link to save a coupon or similar item to your mobile telephone or digital wallet, text to download the Company Mobile App, or text to receive a link to enter or make entry to a sweepstakes. These text messages are not ongoing recurring Programs and therefore you will only receive the information you specifically request in reply.
     
  • How to Opt Out

If you do not wish to continue participating in any Program, or no longer agree to these Terms, text the applicable Short Code or directly reply to any message received from a Program with STOP to opt out of receiving marketing text communications at any time. You may receive an additional mobile message confirming your decision to opt out. You understand that the text message program may not recognize and respond to unsubscribe requests that contain words or phrases other than those set forth above and agree that Company and its service providers will have no liability for failing to honor such requests.

Message frequency will vary.

  • Costs

Message and data rates may apply. Please check with your mobile carrier for details about your pricing plan and the charges for sending and receiving text messages. You are solely responsible for any costs related to or associated with your receipt of text messages, as set forth more fully in these terms.

  • MMS Disclosure

A Program will send SMS (Short Message Service) messages if your mobile device does not support MMS (Multimedia Messaging Service) messaging.

Speakers: Views expressed by speakers are their own. THE HUGE CONVENTION shall have no liability for advice given, or views expressed, by any speaker at the conference or in any material provided to attendees. THE HUGE CONVENTION may use the speaker’s name and presentation materials for promoting attendance at the conference. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism. THE HUGE CONVENTION may audio and/or video record sessions and the recording may be reproduced and sold as part of the overall conference materials. Speakers and vendors consent to the incidental use of their names and likenesses to the extent included in any such audio and/or video tape. THE HUGE CONVENTION may reproduce copies of the speaker’s presentation (e.g., PowerPoint slides or supporting handouts) on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these will be distributed to the conference delegates. Speakers who do not wish to give permission for the above terms and conditions should contact the events team before the commencement of the conference. 

Data Protection: By submitting registration details, delegates agree to allow THE HUGE CONVENTION to contact them regarding the event. Attendees who do not wish to receive such communications please contact the events team. An attendee list will not be for sale to anyone.

Websites & Links: The conference and associated THE HUGE CONVENTION websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which THE HUGE CONVENTION takes no responsibility. THE HUGE CONVENTION shall have no responsibility or liability for the contents of or use of information contained in any website linking to this website. 

Insurance: It is the responsibility of the attendee to arrange appropriate insurance they may desire in connection with their attendance at the conference. THE HUGE CONVENTION shall not be liable for any loss, liability or damage to personal property. 

Photographs, Publicity Material, Radio and Television and Print Media: THE HUGE CONVENTION reserves the sole right to use any photographs, recordings, electronic images or publicity material received by or obtained by THE HUGE CONVENTION in the course of the event, for whatever use deemed proper by the THE HUGE CONVENTION. THE HUGE CONVENTION has the exclusive right to include photographic, video and other visual portrayals of Attendees, Sponsors, Exhibitors and their Exhibits including its contents, in any pictorial medium of any nature whatsoever for the purpose of trade, advertising, sales, publicity and otherwise, without compensation to the Attendee, Speaker, Sponsor or Exhibitor, and all rights titled and interest bearing (including all worldwide copyrights therein) will be THE HUGE CONVENTION’s sole property, free of any claims of Attendee, Speaker, Exhibitor or Sponsor or any persons deriving any rights or interest from the Attendee, Speaker, Exhibitor or Sponsor. 

Hotel, Meetings and Hospitality Functions: Attendee agrees that Attendee will not, nor will Attendees employees or representatives conduct any type of function in the Facility or any participating hotel’s meeting rooms, public areas, hospitality suites or suites during Show hours without the prior written consent of THE HUGE CONVENTION, which may be withheld in THE HUGE CONVENTION’s sole and absolute discretion. THE HUGE CONVENTION reserves the right to collect a commission from the hotel for rooms booked by Attendees. 

Visa Requirements / Invitation Letter: It is the Attendee’s sole responsibility to take care of visa requirements.  If you require an entry visa, you must allow sufficient time for the visa application procedure.  Your registration details might be shared with the immigration authorities to assist in the immigration process. However, THE HUGE CONVENTION will not contact embassies and consulates on your behalf. To receive an invitation letter for the Conference, you must first register and pay the registration fees in full.  

Credentials: THE HUGE CONVENTION-issued credentials are the sole property of the Conference Organizer and must be surrendered upon demand to THE HUGE CONVENTION representatives.  THE HUGE CONVENTION-issued credentials must be prominently displayed while at the conference or designated off-site activities.  False certification of an individual as an attendee or exhibitor’s representative, misuse of an attendee badge, or any other method or device used to assist unauthorized personnel to gain admittance to the conference and/or exhibit floor, will be just cause for expelling the attendee and his representative(s) from the conference and/or banning them from future entrance into the conference.  This would also warrant the removal of the exhibitor’s booth from the floor without obligation on the part of THE HUGE CONVENTION for refund of any fees.  The Attendee, exhibitor, their respective employees and agents, and anyone claiming to be in the conference through the Attendee, waives any rights or claims for damages arising out of the enforcement of this rule. 

Admittance: In its sole discretion and without refund, THE HUGE CONVENTION reserves the right to refuse admittance to or expel from the conference anyone that it determines is behaving in a manner that could be disruptive to the conference or any other Attendee. Attendee consents and agrees that in such event, it shall not be entitled to a refund of any portion of amounts paid. 

Disclaimer: THE HUGE CONVENTION may at any time, with or without giving notice, in its absolute discretion and without giving any reason, change, cancel or postpone the conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. In any case, neither THE HUGE CONVENTION nor any of its officers, employees, agents, members or representatives shall be liable for any loss, liability, damage or expense suffered or incurred by any person, nor will they return any money paid to them in connection with the conference unless they are satisfied not only that the money in question remains under their control, but also that the person who paid it has been unfairly prejudiced, about which the decision shall be in their sole and unfettered discretion and, when announced, final and conclusive. 

Force Majeure: THE HUGE CONVENTION shall not be held responsible or liable for any delay or failure in performance of its obligations hereunder to the extent such delay or failure is caused by fire, flood, earthquakes, hurricanes, unseasonably extreme inclement weather, strikes, labor disputes, inability to secure sufficient labor, civil, governmental or military authority, government requisitions, restrictions or regulations on travel, facility availability, commodities or supplies, civil disturbance, transportation, acts of God, acts of terrorism or threats of terrorism, , acts of war, accidents, epidemics, disasters, the unavailability of the Venue or any other cause beyond its reasonable control.  In any such event, THE HUGE CONVENTION may postpone, reschedule or cancel the event without liability on the part of THE HUGE CONVENTION.  In the event the conference cannot be held or is postponed pursuant to this section, THE HUGE CONVENTION shall not be liable to attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.  

Interpretation: This Agreement shall be interpreted in accordance with the laws of the State of Tennessee. Further, the Parties agree that all disputes and matters whatsoever arising under, in connection with or incident to this Agreement, shall be settled through arbitration conducted in accordance with the rules of the American Arbitration Association or through an action brought in any court of competent jurisdiction in Tennessee, USA, to the exclusion of the courts of any other state, territory or country. In connection with any arbitration or litigation, the prevailing party will be entitled to recover reasonable attorney’s fees and costs. 

Entire Agreement: This Agreement, all Show Rules and Regulations, all Appendices, and Schedules referred to or attached to this Agreement constitute the final, complete, and exclusive statement of the terms of the Agreement between the Parties pertaining to the event and supersedes all prior and contemporaneous understandings or agreements of the Parties. All waivers of any provision of this Agreement must be made in writing and signed by THE HUGE CONVENTION. If any portion of this Agreement will be determined to be invalid, then that portion will be considered severed from the Agreement in that jurisdiction and all remaining portions will remain in full force and effect. Paragraph headings have been inserted for convenience of reference only, and are in no way intended to describe, interpret, define, or limit the scope or intent of any part of this Agreement.
